Executive Operations Specialist

Job Summary:
DT Professional Services is seeking an Executive Operations Specialist to join our team in a hybrid capacity (1-2 days a week in office)! This position provides operational support to employees and is critical to ensuring the success of our employees. The successful candidate will have experience in a data management, have strong organizational skills with a high attention to detail, outstanding time management & communication skills, a commitment to exceptional customer support, and the ability to build relationships at every level of the organization. This person must be comfortable dealing with highly sensitive and confidential matters. Responsibilities:
  • Proactively identify process improvements and process redundancies and collaborate towards improved efficiencies that enhance the employee experience.
  • Builds strong relationships with employees and collaborates with cross-functional leaders internally to deliver consistently excellent customer service.
  • Assists with planning and execution of events such as organization-wide meetings, holiday parties, and more.
  • Coordinate workflow effectively, efficiently, and neatly with a high level of attention to detail as well as superior organizational skills.
  • Guide new employees through onboarding, training and orientation and give existing employees information about their benefits packages.
  • Conduct or acquire background checks and employee eligibility verifications ensuring compliance with USCIS Form I-9.
  • Ensure smooth and timely communication regarding employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Monitor, review, and process all employee eligibility benefit plans, including enrollment, cancelation, and changes.
  • Assists in maintaining employee records and keeping all systems up to date, placing high priority on Data Integrity & privacy.
  • Maintains appropriate level of process, program, and policy knowledge to assist employees and managers.
  • Perform other duties as assigned.

Required Skills:
  • 2-3 years’ experience in an administrative & customer service focused role 
  • Experience scheduling meetings, including booking travel 
  • Familiar with database systems and common HR applications
  • Intermediate to advanced knowledge of Google Suite (Google Sheets) and/or MS Office (Excel)
  • Ability to maintain confidentiality in all aspects of job responsibilities
  • Must have a strong understanding of data integrity and data privacy requirements
  • Ability to multitask in a fast paced, high performing environment 
  • Excellent verbal and written communication skills
  • Strong organization and attention to detail, ability to work independently
  • Exceptional time management skills
  • A self-starter: ensure delegated tasks are completed with minimal supervision or follow up
  • Proactively communicate task and project updates to supervisor
  • Drives results and is solutions oriented
  • Works effectively in a team environment
  • Proven problem-solving skills with a passion for technology, process improvement, and continuous learning
  • Ability to work on-site in Las Vegas, NV - minimum 2 days a week

The compensation range for this position: $50k - $60k annually.
